Payments that update your CRM

HubSpot Stripe integration, with the logic your payments need

Our HubSpot Stripe integration work starts where the standard setup stops: payments that move deals forward, deposits that confirm bookings, and records that land against the right client in your finance system.

In short

What is a HubSpot Stripe integration?

A HubSpot Stripe integration connects Stripe payments to HubSpot so each payment is recorded against the right contact and deal. Big Presence adds custom logic through a middleware layer, so a payment can move the deal forward and reach your finance system against the right client.

  • Native option: HubSpot lets you connect one Stripe account as a payment processor for invoices, payment links, quotes and subscriptions.
  • Custom work: the payment logic HubSpot does not decide for you, such as moving deals and matching finance records.
  • Experience: a HubSpot, Stripe and JobLogic integration built for a UK client, and Stripe to HubSpot to Xero, which we run ourselves.
  • Price: fixed once scoped. New scope gets a new estimate.
  • After launch: we host and support it, or hand over the working code.

Common problems

Why connect Stripe to HubSpot?

Taking a card payment is the easy part. However, the trouble starts after the money lands.

Deals stuck at the wrong stage

A customer has paid, but the deal still says “awaiting payment” until someone updates it by hand.

Bookings confirmed before the deposit

Work gets booked in, then the team finds out the deposit never came through.

Payments with no clear owner

Finance sees a payment in Stripe but must search for the client and invoice it belongs to.

Three systems, three versions

Stripe, HubSpot and the finance system each hold part of the story.

What connects

Does HubSpot connect to Stripe natively?

HubSpot has real payment features of its own. So use them where they fit.

HubSpot payments

HubSpot’s built-in option for businesses in the UK, the US and Canada. UK buyers paying in pounds can use BACS Direct Debit. See HubSpot payments FAQs.

Stripe as your payment processor

Connect your existing Stripe account and take payments through HubSpot invoices, payment links, quotes and subscriptions. It is available in most countries Stripe supports, and the UK is not on HubSpot’s list of exceptions. See HubSpot’s Stripe guide.

There are limits to know about. For example, a HubSpot account cannot use more than one Stripe account. HubSpot also says invoices and subscriptions created in HubSpot are not created in Stripe. Instead, a separate Stripe data sync brings Stripe customers, invoices and payment transactions into HubSpot.

These tools do not decide what a payment should mean in your business: moving a deal, confirming a booking or creating a finance record against the right client. That logic, in short, is the custom work we do.

Data flows

What data does a HubSpot Stripe integration move?

We design each build around your process.

FromToWhat movesDirection
StripeHubSpotPayments, recorded against the right contact and dealOne way
StripeHubSpotDeal stage moved on when a payment is receivedOne way
HubSpotXeroPayment records, matched to the right client in financeOne way
StripeHubSpotDeposit received before a booking is confirmedOne way

We connect the systems through their APIs. An API is the doorway one system uses to read and write data in another. For example, Stripe publishes its API documentation openly, and HubSpot has its own developer API.

Our process

How is a HubSpot Stripe integration built?

  1. Scope

First, we find out where payments start and who needs to know. Then we fix the price.

  2. Map

We agree what each payment event should change: which deal stage, which booking, which finance record.

  3. Build and test

Next, we build the middleware and test it with Stripe test payments. Then your team tests it before go live.

  4. Host and support

Once live, we watch it and fix any payment that fails to sync.

Proof

Has Big Presence built HubSpot Stripe integrations before?

A UK client: HubSpot, Stripe and JobLogic

For a UK client, we built an integration that connects HubSpot, Stripe and JobLogic. As a result, payments taken in Stripe and job work in JobLogic sit alongside the client record in HubSpot.

Our own business: we run this ourselves

Our own Stripe payments come into HubSpot and sync to Xero. Because we run this ourselves, we see the same payment questions our clients face.

Why us

Why choose Big Presence for Stripe and HubSpot?

We are a revenue operations partner, not just a HubSpot implementer.

HubSpot Platinum partner

We are a HubSpot Platinum Solutions Partner, based in Wilmslow, Cheshire. Our partner network includes Xero.

Sales to finance, joined up

We deliver HubSpot implementations, CRM integrations and custom development, so we can follow a payment from deal to finance record.

Built to survive change

Our integrations run through a middleware layer. So if Stripe or HubSpot changes its API, we update the middleware instead of rebuilding.

Aftercare

Who hosts and supports a HubSpot Stripe integration?

We host it

We host the middleware and look after it. That includes monitoring it, fixing breakages, handling API changes and rotating keys.

You host it

Want it on your own servers? We hand over the working code and the repository.

Ongoing support is through a monthly support package: Big, Bigger or Biggest.

FAQs

HubSpot Stripe integration FAQs

Do I need a custom build or is the native integration enough?

A custom HubSpot Stripe integration is not always needed. If you only need to take payments through HubSpot quotes, invoices or payment links, the native tools may be enough. If a payment needs to move a deal, confirm a booking or reach your finance or job system against the right client, you need custom logic. We tell you which at scoping, and we will not build what you do not need.

How much does a HubSpot Stripe integration cost?

A HubSpot Stripe integration typically costs between £3,000 and £8,000 plus VAT when it connects one system to HubSpot, and between £10,000 and £30,000 plus VAT for multi-system builds or complex two-way logic. Most go live in 3 to 8 weeks. We confirm a fixed price once the project is scoped, and new scope gets a new estimate.

How long does it take?

The timeline for a HubSpot Stripe integration depends on how many systems and payment rules are involved. We give you a timeline after scoping.

Can I take payments in HubSpot in the UK?

UK businesses can take payments in HubSpot. HubSpot says its own payments option is available to businesses in the UK, the US and Canada. You can also connect an existing Stripe account as your payment processor. Check HubSpot’s documentation for the subscription you are on.

Can I keep my existing Stripe account?

An existing Stripe account can be kept when you use HubSpot. HubSpot lets you connect an existing Stripe account as a payment processor. Note that one HubSpot account cannot use more than one Stripe account. We look at your setup at scoping.

Can Stripe payments reach Xero?

Stripe payments can reach Xero through HubSpot. Big Presence runs this itself: our Stripe payments come into HubSpot and sync to Xero. We design the matching so each payment points to the right client.

What do you need from us to get started?

To start a HubSpot Stripe integration, Big Presence needs access to the software, API documentation or credentials, a test account where possible, and information within 5 working days of asking.
