A HubSpot Sequence is an automated series of timed email templates and task reminders sent to a contact on your behalf. Unlike Workflows — which are triggered by contact behaviour or CRM changes — Sequences are manually enrolled by a sales rep and are designed to feel personal. When a contact replies or books a meeting, they are automatically unenrolled. This means your prospects never receive a follow-up after they’ve responded, keeping the experience feeling human.

Building a High-Converting Sequence

The structure of your sequence matters enormously. A typical high-performing outbound sequence for meeting bookings might span 10 to 15 business days and include five to seven touchpoints. Start with a warm, personalised introduction email that focuses on the prospect’s challenges rather than your solution. Follow up two to three days later with additional value — a relevant article, case study, or insight. Include a direct meeting request around the third or fourth touchpoint. Measuring and Improving Your Sequences

HubSpot provides detailed reporting on sequence performance — open rates, reply rates, and meeting booking rates for each step. Use this data to identify which emails are performing well and which need improving. Test different subject lines, different email lengths, and different calls to action.
